1. Information We Collect

We collect information in three main ways: (1) information you provide; (2) information generated when you use the Services; and (3) information from our service providers.

1.1 Information You Provide

Account information.

When you create an account, we collect:

  • Name
  • Email address
  • Password (managed through Firebase Authentication; we do not store your plain-text password)
  • Optional company name

Communications with us.

If you contact us by email or through forms, we collect the information you provide (such as your name, email, and the contents of your message).

1.2 Information Generated When You Use the Services

Because Listel is a conversational intelligence platform, the core of what we process is conversation data.

Audio recordings.

When you use the App with your device microphone or a connected Bluetooth device, we collect audio of your conversations that you choose to record. These recordings are uploaded to our servers for processing and stored so that you and your organization can access them.

Transcripts and derived content.

From audio recordings, we create text transcripts and other derived outputs, such as:

  • Summaries
  • Action items
  • Highlights and key topics
  • Other analytics and insights about the conversation

These are stored and associated with your account.

Meeting metadata.

We may collect metadata about each meeting or recording, such as:

  • The account/user who initiated the recording
  • Time and duration
  • Internal labels or tags you apply (e.g., opportunity name, meeting title)

We do not access your device's contacts or calendar.

Diagnostics and crash data.

We use third-party tools (such as Bugfender) to collect diagnostic information to help us monitor and improve the App, including:

  • App version
  • Device type and operating system version
  • Crash reports and log data related to errors

We use this information solely for troubleshooting, security, and performance monitoring.

1.3 Information We Do Not Intentionally Collect

At this time, we do not intentionally:

  • Collect precise or approximate location data;
  • Access your camera, photo library, or contacts;
  • Collect behavioral analytics or cross-app tracking for advertising purposes;
  • Collect payment card numbers ourselves (payments are handled by Stripe on our website, which processes and stores payment information on our behalf).

Our cloud hosting provider(s) may automatically log technical information, such as IP addresses, as part of standard internet operations.

We do not purchase or enrich user data from data brokers, social networks, or other third parties.

2. How We Use Your Information

We use the information we collect for the following purposes:

Provide and operate the Services.

  • Create and manage your account;
  • Record, transcribe, and analyze conversations you choose to capture;
  • Display transcripts, insights, and analytics in the App;
  • Provide support and respond to your requests.

Improve and develop the Services.

  • Understand how the App is performing (e.g., crashes, reliability, usability);
  • Improve our transcription, analytics, and user experience;
  • Develop new features and functionality.

Security and abuse prevention.

  • Monitor for, detect, and prevent fraudulent, malicious, or unauthorized activity;
  • Maintain the security and integrity of our systems.

Legal and compliance.

  • Comply with applicable laws, regulations, and legal processes;
  • Enforce our Terms of Service and other agreements;
  • Respond to lawful requests from government authorities.

Communication and basic marketing.

Send you service-related emails (e.g., account notices, feature updates, security alerts);

Send you product updates, announcements, or other communications that may be considered marketing. You can opt out of non-essential marketing emails at any time by using the unsubscribe link in those emails or contacting us at team@listel.ai.

We do not use your data for targeted advertising or sell your personal information.

3. How We Use AI and Third-Party Service Providers

3.1 Transcription and AI Analysis

To provide transcription and AI-powered insights, we use trusted third-party providers, including:

  • Deepgram for speech-to-text transcription; and
  • OpenAI for natural language processing, summarization, and analytics on transcripts.

We send:

  • Audio recordings to Deepgram so they can be transcribed; and
  • Resulting transcripts or portions of transcripts to OpenAI so they can be analyzed.

We do not intentionally send your account profile data (name, email, etc.) as separate fields to these AI providers, but conversation content itself may naturally include the names and other information of meeting participants.

Where configuration options are available, we take steps to prevent these providers from using your data to train or improve their models beyond the services they are providing to us.

3.2 Other Service Providers

We use additional service providers to support our business, such as:

  • Cloud hosting (e.g., Google Cloud Platform) for storing and processing data;
  • Authentication (Google Firebase Authentication) to manage user sign-in securely;
  • Crash reporting and diagnostics (e.g., Bugfender) to identify and fix issues;
  • Payment processing (Stripe on our web properties) for device purchase and, in the future, subscriptions.

These service providers may process your information only to perform services for us and are not allowed to use it for their own marketing.

4. How We Share Information

We may share your information in the following circumstances:

With service providers.

As described above, we share information with third-party vendors who perform services on our behalf, under contracts that restrict their use of your data.

Within your organization.

If your account is part of a team or organization account, your organization's administrators and authorized users may have access to your recordings, transcripts, and analytics in accordance with that organization's settings and policies.

Business transfers.

If we are involved in a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred as part of that transaction, subject to this Privacy Policy or a successor policy.

Legal, safety, and protection.

We may access, preserve, and share information if we believe it is reasonably necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request;
  • Enforce our Terms of Service or other agreements;
  • Protect the rights, property, or safety of Listel, our users, or others.

We do not sell your personal information or share it with third parties for their independent marketing or advertising purposes.

5. Cookies and Website Tracking

Our website listel.ai may use basic cookies or similar technologies (such as local storage) for functionality, such as:

  • Remembering your session;
  • Basic security and load balancing.

We currently do not use advertising pixels or behavioral ad tracking on our website. If this changes, we will update this Privacy Policy and, where required, provide appropriate notices and choices.

6. How Long We Keep Your Information

We retain personal information for as long as reasonably necessary to provide the Services and fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

In particular:

  • Account information (name, email, organization): kept while your account is active.
  • Audio recordings, transcripts, and derived analytics: kept while your account is active so that you and, where applicable, your organization can access them.
  • Diagnostics and crash logs: retained for a reasonable period to investigate and resolve issues and improve the App.
  • Stripe billing records: retained by Stripe as required for legal, tax, and accounting purposes.

When you request that we delete your account:

  • We delete or anonymize your account data, recordings, transcripts, and associated analytics from our production systems, subject to any legal obligations to retain certain records (for example, old invoices or logs necessary for security, fraud prevention, or legal compliance).
  • Data in backups or archives will be deleted or overwritten in the ordinary course of our backup procedures.

7. How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including:

  • Encryption in transit and at rest for core data stores;
  • Access controls limiting which team members can access production systems;
  • Use of reputable cloud providers and security best practices.

However, no security measures are perfect or impenetrable, and we cannot guarantee that your information will not be accessed, disclosed, altered, or destroyed by a breach of our safeguards. You are responsible for maintaining the confidentiality of your login credentials.

8. Children's Privacy

Our Services are intended for business users and adults and are not directed to children under 18. We do not knowingly collect personal information from children under 18 or market to them.

If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information. If you believe that a child under 18 has provided personal information to us, please contact us at team@listel.ai.

9. Your Choices and Rights

9.1 Account and Data Controls

You can:

  • Update your information by logging into your account and editing your profile;
  • Access your recordings and transcripts through the App;
  • Delete your account by using the account deletion option in the App (where available) or contacting us at team@listel.ai.

When you request account deletion, we will delete your account and associated data as described in Section 6.

9.2 Marketing Communications

You may opt out of non-essential marketing emails at any time by clicking the "unsubscribe" link in those emails or contacting us at team@listel.ai. We may still send you service-related or transactional communications (such as security alerts or notices about changes to our terms).

9.3 State Privacy Rights (United States)

Depending on where you live (for example, in California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Montana, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, or Virginia), you may have rights under state privacy laws, such as:

  • The right to know what categories of personal information we collect and how we use and share it;
  • The right to request access to the personal information we maintain about you;
  • The right to request correction or deletion of your personal information;
  • The right to obtain a copy of certain personal information;
  • The right to be free from discrimination for exercising your privacy rights.

To exercise these rights, you can contact us at team@listel.ai. We will verify your request and respond as required by applicable law. In some states, you may have the right to appeal our decision if we decline to act on your request; if you wish to appeal, please let us know in your response.

We do not "sell" or "share" personal information as those terms are defined under applicable US state privacy laws, and we do not use sensitive personal information for purposes that would require a right to limit its use.

10. Do-Not-Track Signals

Some web browsers offer a "Do Not Track" (DNT) signal. Because there is no consistent standard for DNT, we do not currently respond to DNT signals. If that changes, we will update this Privacy Policy.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If we make material changes, we may also notify you by email or within the App.

We encourage you to review this Privacy Policy periodically to stay informed about how we handle your information.
